How does Elements match grant records to each other?

The following data fields are used by the grants matching algorithm to determine if a new record should match with a record already existing in Elements:

  • Funder name

  • Funder reference

  • Institution reference* (added v6.20)

  • Title

In order to determine whether a new record should match with an existing record, the matching algorithm analyses match acceptors and match rejectors, applying the following logic:

  • If the new record contains an acceptor that matches with the existing record, the records will be matched

  • Otherwise, if the new record contains a rejector that does not match with the existing record, the records will not be matched

  • If the new record contains neither acceptors nor rejectors that cause a match / not, a Title fuzzy match will be attempted

    • Note that two records from the same source will not be matched based only on a Title fuzzy match

  • Funder name + Funder reference (handled as a pair)

  • Funder reference

  • Institutional reference

  • Numbers at the end of Titles (e.g. 'Grant A 2022' will not match with 'Grant A 2023')

Currently, the algorithm doesn't look for a 'best' match. As soon as it finds a record that does match, it stops.
 

* Institutional reference is the internal institutional ID for the grant, populated when a client uses the Awards Management module or an Institutional Grants System, as a grants data source.
