REF2: Data requirements tab

The Data requirements tab in the REF2 form enables you to capture REF-specific metadata, as per the submission requirements.  This includes:

  • REF2 output type

  • Additional information field

  • Interdisciplinary, Forensic science, and Criminology flags

  • Double-weighting requests, statements, and reserves

  • English abstract

  • Cross-referrals

Output type

The REF2 output type

Output date

Provides the Month and Year the output was published.  The REF2 form takes the earliest of the 'Online publication date' and the 'Publication date' from the associated Publication

Month will only be returned in the submission XML if the output is attributed to a Cat B member of staff

Output date override

Enables you to override the derived Output date where the date of imprint is not the date the output first became available in the public domain

Where populated, the override date will be returned in the submission XML

Number of additional co-authors

Total number of authors -1, unless double-attributed (-2)


Number of additional co-authors override

Enables you to override the number of additional co-authors, where the value returned is not accurate

Where populated, the override value will be returned in the submission XML

Supplementary information

DOI / URL for any supplementary information published alongside the output


Media of output

Describe the form of the output that is being submitted where it has not been possible to submit the final version of the output in electronic form

Additional information
Includes significant material published prior to 1 January 2014

The field is disabled until the relevant statement type(s) are selected.The field has an overall character limit of 7,500 characters. Additionally, a 100 word limit is applied to the field.  You cannot input more than 7,500 characters, but you can input more than the word count limit (which will generate a validation error in the submission).

Output allocation

UoAs 7, 10, 11, 12, 26, 27, 28, 29, 33, 34 only.
Will assist panels in allocating outputs to appropriate readers during the assessment phase.

UoAs 7, 10, 11, 12, 26, 27, 28, 29, 33, 34 accept only one Output allocation.
UoAs 10 and 26 accept up to two Output allocations.
UoA 12 accepts up to three Output allocations.
Note: For those Units that accept 'Other' values beyond the specified classification scheme (i.e. UoAs 26, 27, and 29), these should be input as 'Other: XXXX'

Interdisciplinary research

Double-weighting

For outputs of extended scale and scope, you may request that the sub-panel weights the output as two.  This section enables you to flag an output as double-weighted, provide the necessary statement explaining how the scale and scope of the output satisfies the criteria, and select a reserve should the request not be granted.

Only those outputs in the Accepted or Attributed submission states, and not already selected as a reserve for another output, are available for selection.


Pending output

As the submission deadline is now 31 March 2021, the concept of a 'pending' output no longer applies.  This field should no longer be used.  Any output flagged as pending or selected as a pending publication reserve will generate a validation error and you will be unable to make your submission.

English abstract

For outputs produced in languages other than English, you are required to provide a short abstract in English, describing the content and nature of the work.

This section only appears in the REF2 form if the output is not produced in English.

We determine an output is produced in English if:

  • No language provided (i.e. Language field is null, or does not exist on the associated Publication form), or

  • Language captured on the associated Publication is one of English, En, or Eng

Produced in language within the remit of the Unit

Where the output has been produced in a language within the remit of the Unit, or where the Unit has indicated that they are able to assess outputs in this language, you should indicate this by selecting this field.  This means that no English abstract is required for submission.

Selecting this field means that no English abstract is required (and any provided will not be included in the submission XML file).  This will also result in no information on the language being returned in the submission XML, as per REF guidance.
