Enabling the ORCID write integration to send information on user affiliation
Following the release of Elements 5.19, Elements’ write integration with ORCID has been extended to allow users to send details of their affiliation with the organisation to their ORCID account. As the source for this affiliation will be the institution itself this provides an authoritative record that can be reused in other systems.
When enabled, this feature will allow users to send either an ‘employment’, or an ‘education’ affiliation to ORCID. The affiliation type sent depends on the setting of the new ‘IsStudent’ flag that has been added to users. This can be found on the System Admin > Users & Groups > User Management > Manage users and user feed page. This flag can be set manually or via the HR feed. If no information is provided via the HR feed this flag will default to NULL.
Warning: You must register your QA server against the ORCID development sandbox so that you can do testing without any fear of corrupting production data. You MUST only connect your production environment to the live ORCID registry.
Required configuration
In order for the new functionality to work it is necessary to complete the ‘Organisation long name’, ‘Organisation GRID identifier’, ‘City of main campus’ and ‘Organisation country’ fields on the Global settings page (System Admin > General Settings > Global Settings). ‘Organisation long name’ and ‘Home country’ are mandatory fields and will already be completed unless you are implementing Elements.
To find out the GRID-ID of your institution please visit www.grid.ac. You can then explore the GRID database to find your institution.
Important: The GRID-ID provided should be the highest level of your organisational hierarchy possible. For example, if Elements is deployed in ‘Lilliput School of Medicine’ and nowhere else on campus you should still use the GRID-ID for ‘Lilliput University’.
Enabling affiliation assertion
Asserting affiliation can be enabled on the System Admin > Data Sources > Data Source Management > ORCID page. The integration is configured globally and cannot be controlled independently for different groups. If any of the required fields are not present a warning will be displayed to indicate that these must be added.
Users send their affiliation to their ORCID account
When enabled and correctly configured a new section will be displayed on the ORCID Settings page. From here users can click the ‘Send affiliation’ button. A popup will display what information will be sent to ORCID on behalf of the user, including the affiliation type. If users choose to send the affiliation to ORCID a timestamp will display the last time the affiliation was sent.
Resending the affiliation will not change the data in ORCID, unless the user’s ‘IsStudent’ status has changed. In this case it will be possible to create both an ‘employment’ and ‘education’ affiliation type in ORCID.
